Action Codes are used to plan things to be done in the future. Events, promises, and file-reviews are scheduled using action codes. Each account may carry multiple open action items if desired.
Caution:
If worklists are used, be sure worklist criteria are set such that multiple
action items for the same account (if any) all appear on the same worklist.
This is to avoid operator confusion and debtor harassment that could happen
if the same debtor account is included in more than one worklist.
Action codes are sometimes called "tickler" codes or "Diary" codes. An action code is simply a reminder of some future event or action important to the case.
CollectMax may be set up with several user defined action codes. In order to request action item lists by different codes, or to have more specific codes for tickling, you should establish those codes here. The payment due date code "DU" is predefined in the system and has unique features that differentiate it from other action items. Other codes may be defined and added as needed. For instance, many firms use "RD" for return date, "CD" for continuance date, and "RV" for file review date.
Action codes should not be confused with Status Codes. "Actions" are reminders
of future events such as payments due or court appearances. A case may
carry several open action items at once. By contrast, a status code describes
the general status of collection of a case. Often a status code refers
to the past of a case where the action item refers to the future of the
case.
Unlike status code modification, revising action code descriptions affects only new action item entries and does not change existing entry descriptions.
Action items are the basic entries for the worklists. When worklists are created, mature action items are collected together into a special computer file to be presented to a collector or operator.
The definition of action codes is accessed from the main CollectMax screen , and are accessed from the Definitions tab at the top of the screen. When the Definitions tab is clicked, a drop down menu is displayed with several options - Select "Codes". Another drop down menu will be displayed providing all the code categories that the operator has definition access.
Once
the "Codes" option is chosen the operator will see another screen
that displays all the defined action codes and provides for the utility
functions of adding a code,
an existing code,
an existing code, or
the code list.
